Can you automate data entry?

Yes, partly. A workflow reads documents and lists, checks every value with fixed rules, and loads the clean rows. Anything that fails a check waits for a person.

The verdict switch

Lever 06

A switch with three positions: No, Yes partly, and Yes.

Set to Yes, partly. A workflow does the repeat work. A person approves the steps that matter before anything leaves the team.

What stays human in data entry

  • Flagged rows and documents.
  • Any new document type.
  • Every payment or decision made from the data.

Bring your version of the task to the call. Or send it in writing and you get a personal reply within 5 working days: yes, partly, or not worth automating, and how.

Ways to automate data entry

4 ways, and when each one fits. Each names the workflow or tool that does it, where one has a page.

02How it runs

How it runs, stage by stage

5 stages on one line. Only one uses AI, the read stage, and rules check what it returns. A person takes the review stage.
  1. 01Arrive

    Trigger

A document or a list arrives.

  2. 02Prepare

    Rule step

Rules fingerprint each file, so the same file is never read twice, and cap its size.

  3. 03Read

    AI step

For documents only, AI reads the fields into a fixed format.

  4. 04Check

    Rule step

Every value must appear in the source and the totals must add up.

  5. 05Review

    Person step

    A person reviews anything flagged.

03Worked example

A worked example, in numbers

Arithmetic on example values, so you can check every step. It is an illustration, not a result we measured.

Example: one week of invoices and a contact list

Example values, not a measured result

  1. 01

One week brings 40 invoices and a contact list of 200 rows: 240 items to type or check.

  2. 02

Say 30 invoices and 180 rows pass every check and load on their own.

  3. 03

A person reviews 10 invoices and 20 rows: 30 items instead of 240.

06FAQ

Questions about data entry

Can AI automate data entry?

Partly. AI reads documents into fixed fields, code checks every value against the source and the totals, and a person reviews anything that fails.

Can it move data from PDF files to Excel?

Yes, partly. Fields read from a PDF can be written to a spreadsheet once the checks pass.

What happens to rows that fail a check?

They wait for a person, with the reason, and nothing downstream uses them until a person approves them.

What about bank statements and ID documents?

Those always go to a person.

How is a value read from a document checked?

Code checks that the value is written in the source document and that the totals add up. A value that fails is not loaded, and a person sees the reason.

Can it clean a contact list before it reaches our CRM?

That workflow is planned. It tidies mixed headers, removes duplicates and checks email format, and it is shown here as text until its page is live.

Are invoices covered here or on the invoice page?

Both pages use the same invoice workflow. The invoice processing page goes deeper on matching and approval; this page covers data entry in general.

Is your version of data entry worth automating?
