Can you automate invoice processing?

Yes, partly. Reading and checking invoices can be automated; a person still approves anything that fails a check.

The verdict switch

Lever 02

A switch with three positions: No, Yes partly, and Yes.

Set to Yes, partly. A workflow does the repeat work. A person approves the steps that matter before anything leaves the team.

What stays human in invoice processing

  • Approving any invoice that fails a check.
  • Every payment. No workflow here moves money.
  • New document types, until their own checks exist.

Bring your version of the task to the call. Or send it in writing and you get a personal reply within 5 working days: yes, partly, or not worth automating, and how.

Ways to automate invoice processing

2 ways, and when each one fits. Each names the workflow or tool that does it, where one has a page.
OptionWhen it fitsThe workflow or tool
01Extract and check invoices from emailInvoices arrive as email attachments or PDF files, in many layouts, and someone types them in. Duplicates are caught before the AI step, so the same invoice is never read twice.AI invoice extraction with rule checksUse case
02Tidy PDF files first, in your browserYou merge or split batches of PDF files by hand before anything else. The free toolkit does that on your own device, with no upload and no workflow to build.Merge, split, compress PDF without uploadingFree tool

02How it runs

How it runs, stage by stage

5 stages on one line. Only one uses AI, the extract stage, and rules check what it returns. A person takes the approve stage.
  1. 01Capture

    Trigger

The invoice arrives by email or as a PDF.

  2. 02Extract

    AI step

AI reads vendor, number, dates, currency and totals into a fixed format.

  3. 03Match

    Rule step

Rules check the math, the dates, duplicates and that the total appears in the document.

  4. 04Approve

    Person step

A person approves anything that fails a check.

  5. 05Post

    Rule step

Clean results go to your books or your sheet.

03Worked example

A worked example, in numbers

Arithmetic on example values, so you can check every step. It is an illustration, not a result we measured.

Example: 150 invoices a week

Example values, not a measured result

  1. 01

    150 invoices a week at 6 minutes each to type in: 150 x 6 = 900 minutes, or 15 hours a week.

  2. 02

    If the checks pass 80% of them, a person reviews the other 20%: 150 x 0.2 = 30 invoices.

  3. 03

At 6 minutes each, that is 180 minutes, or 3 hours a week, plus a quick look at the approved ones.

Your numbers will differ. The calculator runs in your browser and uploads nothing.

06FAQ

Questions about invoice processing

Can AI process invoices on its own?

Partly. AI reads each invoice into fixed fields. Code checks the math, the dates and duplicates, and a person approves anything that fails a check.

How are duplicate invoices caught?

Each document gets a fingerprint before any AI step, so a document already processed is skipped.

Does the workflow pay invoices?

No. It reads, checks and routes them. Payment stays with a person.

How does automated invoice processing work?

In five stages: capture the document, extract the fields, match and check them, approve, and post the clean result. Only the extract stage uses AI.

Which invoices go to a person?

Any invoice that fails a check: a missing total, totals that do not add up, a date more than 2 years old or more than 30 days ahead, a total or number not written in the document, or text that reads like instructions to the AI.

What does the AI step see?

The text of each invoice, once. It fills a fixed set of fields and nothing else. Every decision after that, from the math to the approval route, is made by code.

Do we need accounting software for this?

No. Clean results can go to a spreadsheet or a table first. Sending them on to your accounting software is a separate connection we scope with you.

Is your version of invoice processing worth automating?

Everyone runs it a little differently. Talk yours through on a call, or send it in writing.
